How to customize notifications for task comments in Microsoft Planner

If you use Microsoft programs on a regular basis for business-related purposes you may consider investing some time to learn how to use Microsoft Planner properly. Planner offers its users a unique set of features that allows them to customize notifications, create plans, and edit them according to progression. Get notified when a comment is posted on a Planner task

Whenever you post a test comment, people will be notified of the comment, the steps below will show you how to customize those notifications follow through for a step-by-step guide on how to achieve this.

  • Firstly open Office 365.
  • Use the launcher to navigate over to Planner.
  • Once you are in Planner, choose your Plan.
  • Click the three dots in the options tab.
  • Select “Plan settings”.
  • Now click on “Notifications”.
  • From there check the box that says “Send email to the group when a task is assigned or completed”.
  • Finally, click on “Save”.

Note: only plan creators and assigned managers delegated by the creator can edit this feature to mark the checkbox.

Now any new comments posted will be notified in email, this allows for a record to be maintained and allows for you to remain more alert if a change is made to your upcoming tasks. This is a universal step, any updated comments on tasks will be posted to the group chat associated with that plan and its members.

  • Use the launcher to navigate over to Planner.
  • Once you are in Planner, choose your Plan.
  • Click the three dots in the options tab.

Notifications concerning task creation, assignment, and completion will be delivered to the Plans discussion (in the Office 365 group conversation) rather than to each user individually if this option is enabled. Currently, the planner does not send e-mail notifications to the user’s inbox; instead, it sends updates to the Office 365 groups chat.

Any new comments will no longer be alerted through email; instead, a comment record will be kept within the Planner program’s plan. The first option allows you to modify notifications so that they are sent through email. Any new comments on tasks will be shared to the group chat linked with that plan and its participants, which is a universal process.

This feature’s functionality is currently unavailable, therefore activating it will make no impact. However, the major reason for this feature’s visibility is due to forthcoming changes in Planner.

This feature will automatically enroll new members in the notification emails, eliminating the requirement for them to manually “Follow the plan” as I explained before. By default, it will be set to the following.

The methods showed above outline all the steps, however, does it actually work? Follow through to see.

The custom notification patch is turned off so in theory any comment I post will not be reflected in the group email. I have created the comment posted it and now when I go to my email inbox for the group:

Nothing is shown in the inbox, this means that the notification customization feature has had an effect and now there are not custom mail flows directed to the changes that are made on my tasks. You will also not receive any notification if a task or plan has been published, you will need to ensure that these plans are kept upto date as necessary.

If I were to go and check the box, I would be able to have messages directly sent to the group inbox informing of any changes made to the tasks. Lets see if it works.

I have again posed the same message onto the paneer task comment section, however this time the planner setting is such that it allows me to send email based notifications as necessary. In theory it should work now that the comment is posted I should receive confirmation in my group mailbox set for that plan.

A message has appeared in my inbox, indicating that the notification customization option has taken effect and that custom mail flows are now routed to changes made to my tasks. You’ll also be notified if a task or plan has been published; you’ll need to make sure these plans are maintained up to date as needed.
