How to set delay on emails sending: Outlook Web Access

As of now, you can plan an email to be sent at a later time or date on Outlook desktop. Microsoft is now adding this capability to the online version of Outlook. To use this feature, edit a few features located within the outlook web for sending an email and it will allow you to either schedule or delay when you’re writing an email. After you’ve made your choice, you’ll be able to choose a data set and a time for the email to be sent. You may construct an email message template that includes a send delay for every message you create and send automatically. This is useful if you often make changes to an email you’ve just sent, or if you’ve sent an email that you later regret.

Step by step process – How to set delay on emails sending: Outlook web access.

  1. First, sign into Office 365 using your sign in details.
  2. Navigate to “Outlook” using the “app launcher”.
  3. Compose a new email by clicking on “New Message”.
  4. Next to “Send” there will be a dropdown arrow, click on it.
  5. Click “Send later”.
  6. Set a date and time.
  7. Then click on “Send”.

The message not being sent will be delayed to the time and date you specified. You can edit the time and date again. To do this go to “Drafts” >> Find the scheduled mail >> Then click on “Cancel send”. You will be brought back to the compose page here and you can follow the steps above again to edit the delay in the mail. There is no apparent direct approach to delay the mail once it’s scheduled, you will need to cancel the original mail send and redo the process again.

Adding a compose and reply rule to delay the email in Outlook

The method shown above is the easiest method to relay a mail or add a scheduled approach to an email if you feel there may be no need to send an email as of now. However there is another way, you can physically delay the email sending for up to ten seconds from the time you clicked the send button. To achieve this, you will need to create a compose and reply rule which will allow you to put a restriction time on the email you are sending. Follow the steps below to see how you can delay the email sending.

Step by step process – How to use the compose and reply rule to add a delay to emails

  • First, sign into Office 365 using your sign in details.
  • Navigate to “Outlook” using the “app launcher”.
  • Click on “Settings”, gear icon.
  • Click on “View all outlook settings”.
  • Under “email”, click on “compose and reply”.
  • Scroll to the section which says “Undo send”.
  • Than click on “Save”

Any mail you send will now be delayed for a duration of 10 seconds. You can set the delay on certain mailboxes or even on certain emails which you can type and send from this panel here. However following through with the step-by-step process above, will delay the email for 10 seconds.

Now when you send an email, this box will show for 10 seconds you can quickly click on “Undo” and it will refrain from sending the email. You will then be bought to the compose page and here you will be able to edit the email or even discard it.

The methods shown above are considered as a fail-safe just in case the mail you are sending is incorrect or being sent to the wrong person. You have some time to consider your approach to sending an email before actually sending it and this is why having this in place especially for users who aren’t members of your organization is essential to keeping your information in the correct hands.

Microsoft took measures to repair Outlook’s reputation with Office Outlook 2003 as part of its Trustworthy Computing project. The fact that Office Outlook 2003 does not automatically load pictures in HTML emails or allow opening executable attachments by default, as well as having a built-in Junk Mail filter, are among the most well-publicized security measures.
